How a PDF QR code works
A QR code can't hold a whole document; it only holds a link. With a PDF QR code, the file is uploaded and hosted for you, and the code points to it. When someone scans, the PDF opens in a clean viewer on their phone with a download button.
The alternative is to upload the file to a cloud drive and put the share link in a code. It works, but it's fragile: sharing permissions change, files get moved, and people land on a sign-in page instead of your catalog. A hosted PDF avoids all of that.
What people share with a PDF QR code
- Product catalogs and price lists, on packaging, shelves and trade-show stands.
- Brochures for real estate projects, printed on site signs and flyers.
- CVs and portfolios, on a printed CV or a business card.
- User manuals and installation guides, on the product box instead of a printed booklet.
- Patient instructions at clinics, such as preparation steps before a test.
- School and training timetables, course outlines and certificates.
For a restaurant menu, a dedicated menu page usually works better than a PDF, because it's built for phones and easy to update dish by dish. A PDF is the right choice when you already have a designed document that should look exactly the same everywhere.
How to turn a PDF into a QR code, step by step
- Prepare the final PDF and check its size (see the limits below).
- In QRaft, choose the PDF type and upload your file.
- Style the code: your colors, your logo, and a frame such as "Scan for the catalog".
- Check the scannability score in the editor.
- Download SVG or a print-ready PDF for the printer, or PNG for screens and social posts.
- Scan the downloaded file with an iPhone and an Android phone before printing.
PDF file size limits by plan
| Plan | Max file size | Total storage |
|---|---|---|
| Free ($0) | 5 MB | 25 MB |
| Pro ($9/month) | 25 MB | 2 GB |
| Business ($29/month) | 95 MB | 20 GB |
Most brochures and price lists fit under 5 MB once they're exported for screens. Large catalogs with many high-resolution photos may need Pro. On the Free plan, hosted pages show a small "Made with QRaft" line.
Replace the PDF without reprinting the QR code
Prices change, catalogs get new pages, and manuals get corrections. Because the code points to a hosted file, you can open the code, upload the new PDF and save. Every printed copy — on boxes, posters or shelves — now opens the new version.
A practical example: a building-materials supplier in Riyadh prints a code on its counter and on every invoice. Each month, it uploads the new price list to the same code. Customers always scan the current prices, and nothing is reprinted.
Keep an old copy of each version on your computer before you replace the file. If a customer asks about last month's prices, you'll still have them.
Make your PDF easy to read on a phone
Most people will read your PDF on a 6-inch screen, often standing up. A document designed for A3 print can be painful to read there. A few changes make a big difference:
- Put the most important information on page 1: prices, contact details, or the key instruction.
- Use a body text size of at least 11 pt, and avoid thin, light-gray text.
- Prefer portrait pages; wide landscape spreads force readers to zoom and scroll sideways.
- Export with compressed images (often called "smallest file size" or "for web") to keep the file light.
- Use real text, not scanned images of text, so it stays sharp when people zoom.
- Keep it short. Split a 120-page catalog into sections if customers only need one.
Track how many people open your PDF
Each scan of a PDF code is counted, so you can see how your document performs. You get scans per day, unique visitors, countries, cities, devices and operating systems, and a heatmap showing which hours and weekdays get the most scans. You can compare with the previous period and export the data as CSV.
To compare placements, make one code per location, such as one for the trade-show stand and one for the product box. A weekly email report and milestone emails at 100, 1,000 and 10,000 scans keep you updated without logging in. Note that the Free plan keeps 7 days of scan history, while Pro and Business keep the full history.
Questions
Is it free to turn a PDF into a QR code?+
Yes. The Free plan hosts PDFs up to 5 MB, with 25 MB of storage in total. Larger files need Pro (25 MB) or Business (95 MB).
Can I change the PDF after printing the QR code?+
Yes. Upload the new file to the same code and save. The printed code stays the same and opens the new version.
Do people need an app to open the PDF?+
No. The phone's camera reads the code, and the PDF opens in the browser with a download button.
What size should a PDF QR code be in print?+
At least 2 × 2 cm on small items like cards and labels. For posters, use about 1 cm of code width for every 10 cm of scanning distance.
